The common filings
| Change | Files with |
|---|---|
| Director joins or leaves | The KVK form plus the appointment or resignation resolution — see appointing and dismissing directors |
| Address change | The KVK form; the tax authority follows automatically |
| Activities (SBI) change | The KVK form with the new description |
| Trade name added | The KVK form; the statutory name changes via the notary |
| Authorised signatories | The KVK form plus the power of attorney |
What changes via the notary instead
The statutory name, the registered seat, the share capital and everything else inside the articles of association amend through a notarial deed; the notary files the result at the KVK. Share transfers run the same route and update the shareholder register and, where ownership shifts, the UBO register.
The discipline
One change rarely touches one register. The working routine: file the KVK change, update the shareholder register, check the UBO picture — same afternoon, one file note. The full yearly rhythm stands in the compliance calendar.
