The company file
- Recent KVK extract (an extract from the Dutch business register) and the deed of incorporation with the articles.
- The UBO overview: a register extract plus a structure chart down to the natural persons, matching the UBO registration exactly.
- An up-to-date copy of the shareholder register.
- Proof of the registered address and, where present, the office lease.
Documents about the people
The bank asks for the passports of the directors and UBOs and proof of their addresses. For other people who sign for the company, it asks for a registered power of attorney. Foreign documents need an apostille if the bank asks for one.
Description of the business
Banks want to understand what the company does. Give them a one-page business description, the expected money in and out with countries and volumes, the first contracts or invoices, and a website that matches. Foreign-held companies add the substance checklist. The full procedure for them is in bank accounts for foreign owners.

Consistent documents
The address, the description of the activity and the UBO overview must be the same in every document. Most questions from the bank are about differences between the documents. If all documents match, the bank approves the file faster.
