Proof of address in Poland, at most three months old.
Power of attorney. Sign the power of attorney before a Polish notariusz. The regional court then authenticates the deed, and the ministry apostilles it.

The apostille. Ministry of Foreign Affairs (Ministerstwo Spraw Zagranicznych), Warsaw. The apostille costs 60 Polish zloty (PLN) per document and takes 5 to 7 working days. Notarial deeds must first be authenticated by the president of the regional court (sąd okręgowy) before the ministry will apostille them.
Good to know. A notarial deed needs two steps, first at the court and then at the ministry. Most rejections happen because the court step was skipped. The Dutch notary may also ask for a printout from the Polish register of real owners (CRBR). This is for the UBO check (who really owns the company).
If a company from Poland becomes a shareholder
Register extract, at most three months old: Krajowy Rejestr Sądowy (KRS). A current extract (odpis aktualny) can be downloaded free of charge and has the status of an official document. Plus articles, signing authority and ownership chart.
Poland: business register and trade
Poland's National Court Register (Krajowy Rejestr Sądowy) has been operational since 1 January 2001. It consists of three separate registers, one of them the business register.
Access to the register is free. Financial documents of registered entrepreneurs are free online in the Repository of Financial Documents. Registration files are free in the Repository of Registration Files once the procedure has concluded.
Since 1 July 2021, registration in the business register has been carried out exclusively online. Sole traders and partners in civil-law partnerships are entered in the Central Business Register. The National Court Register is part of the Business Registers Interconnection System.
In 2025, the Netherlands exported goods worth €23.2 billion to Poland and imported goods worth €15.7 billion from Poland, according to provisional figures.
